BUDGET MANAGEMENT AND ALLOCATION

We are very respectful of our client’s allocated budget. We guide clients by sharing industry knowledge as to the costs involved in each wedding sector to ensure the funding is available for the celebration vision which is expected. We draft a detailed budget document which suggests the amount we would recommend assigning to each wedding supplier and in this way, clients can make informed decisions when it comes to amending supplier quotes and keeping within the overall budget assigned to the celebration.

CHOOSE THE PERFECT VENUE FOR YOUR CELEBRATION

We guide the process of confirming your ideal wedding venue by sharing venue recommendations within your chosen area which are well suited to your budget and aesthetic preferences. We then organise site visit appointments on your behalf, so you can visit the respective venues virtually through video calls or in person. We complete a detailed comparison document between your two shortlisted venue options to ensure you make an informed wedding venue decision.

CONCEPTUALISATION AND DESIGN

During our coordination meetings, we will discuss your wedding venue layout, colour palette, texture preferences, and the overall aesthetic in-depth to confirm we understand the concept you have in mind. We then select the furniture, flooring, linen, lighting, and general décor hiring to reflect your desired look and feel on your special day.

DÉCOR AND FLORAL FINALISATION

The floral design and décor inclusions of you celebration are extremely important to the overall look and feel. Once we have guided you in your choice of suppliers, we recommend scheduling a décor mock which would be executed at your wedding venue, virtually or in person, so that you can see an example of what one of your celebration tables will look like. Through this interactive meeting, you will not only meet the involved suppliers, but be able to share your preferences, make changes and perfect the look of your preferred table design.

SELECTION OF SERVICE PROFESSIONALS

The third-party service providers which are involved in your wedding day will ensure the success of their respective responsibilities. We work closely with the industry leaders in each wedding sector including entertainment, photography, videographer, styling, officiating etc. We relay the vision of the celebration in great detail to all suppliers involved to ensure all parties are well briefed and provide a high level of personalised service.

CULINARY AND BEVERAGE

The menu and paired wine are an integral part of your event. The menu items you select help personalise your special day and the menu often ties into the wedding theme. We organise a wedding tasting ahead of time, so you are able to sample potential items and narrow them down to your favorites. The menu tasting includes canapes, plated or buffet meal options along with paired wine. Within this experience we also involve your cake designer so that you can enjoy assorted flavour options.

MUSIC AND ENTERTAINMENT

From the classics to fun reception dinner alternatives, your wedding day entertainment highlights the joy in your celebration! Based on your preferred music genre, we would recommend live entertainment as well as DJ options for your ceremony, pre-drinks and reception. We also organise additional entertainment. Wow-factors such as photobooths, insta-pods, lawn games, confetti bombs, sparklers, fireworks, ice sculptures, and so much more.

FLOOR PLAN LAYOUT

A detailed wedding floor plan is the best way to visualise your wedding venue and ensure the spacing is appropriate for your guest number. We are committed to ensuring your wedding is set up to your exact specifications and that you are comfortable with our placement intentions. Our in-house architect drafts a to-scale floor plan of your wedding locations. This document showcases your table layout, dance floor, staging, bar, lighting, and floral elements. Once you have approved this detailed floor plan, we use this to guide service providers during the planning process and to complete the setup preparations on your special day.

FINAL PROGRAMME AND TIMELINE PLANNING

Planning your wedding day timeline and distributing a detailed Final Programme of events to all service providers involved ensures the setup, duration of the event, and the break down is executed seamlessly. This programme also guides your bridal party and MC as to the formalities of the event and the timing thereof. We include a contact page, detailed timeline, bridal schedule and groom schedule, your menu and beverage particulars as well as a full photography and videography briefing within a Warren-Stone Weddings Final Programme.
